The situation

The team ran on five tools that did not talk to each other: a CRM, an email client, a sequencer, an analytics dashboard and a scheduler. Every lead was entered more than once. Every report was assembled by hand on a Friday and was wrong by Monday.

Reps were spending a meaningful part of the day moving information between tabs rather than talking to anyone, and the manager had no view of the pipeline that was both current and trustworthy.

What we built

One platform covering the whole path: leads in, outreach drafted, follow-ups sequenced, meetings booked, and reporting that reads from the same data everything else writes to.

Outreach is drafted against what is actually known about the lead, and a rep reads and edits it before it sends. Reporting is a live view rather than a Friday export — one place to work, and one set of numbers everybody is looking at.

What we deliberately left out

No fully automatic sending. A person approves every message that leaves. The team's reputation with its own market was worth more than the minutes saved.

No dialer, no call recording. Both were asked for. Both were their own project, and saying so kept this one to seven weeks.

No migration of dead data. We moved the accounts that had activity in the last eighteen months and archived the rest, rather than paying to carry a decade of noise into a new system.

The result

Five tools became one. Reps stopped re-entering leads, and pipeline reporting went from a hand-built spreadsheet to something the manager can open at any moment and believe.
